De Vos Dental (“we”, “us”, “our”, “the Practice”) is committed to protecting the privacy and personal information of every person who visits our website, contacts us, or receives dental care from us. This policy explains how we collect, use, share, store, and protect your personal information in line with the Protection of Personal Information Act, 2013 (POPIA) and, where applicable, other South African law.
1. Who we are (Responsible Party)
Under POPIA, the “Responsible Party” is the entity that decides why and how your personal information is processed. That is:

2. Our Information Officer
POPIA requires us to appoint an Information Officer who is responsible for how we handle your personal information and for dealing with your requests and complaints.

3. What personal information we collect
Depending on how you interact with us, we may collect:
- Identity and contact details — name, surname, ID number, telephone number, email address, and postal or physical address.
- Website usage information — IP address, browser type, device information, and pages visited (see the Cookies section below).
- Enquiry information — any details you provide when you complete a contact or booking form or message us.
4. Special personal information (your health data)
Health information — including your medical and dental history and treatment records — is classified as special personal information under Section 26 of POPIA and is given extra protection. We only process this information where:
- you have given your explicit consent; or
- it is necessary for the establishment, exercise, or defence of a right or obligation in law; or
- it is necessary for us to provide you with dental care and to meet our professional and legal obligations as a healthcare provider.
We will never process your health information for a purpose you would not reasonably expect from your dentist.
5. Why we process your personal information
We process your personal information for specific, lawful purposes, including to:
- respond to your enquiries and requests;
- schedule, confirm, and remind you of appointments;
- provide dental care and keep accurate clinical records;
- process payments and medical-aid claims;
- comply with legal, regulatory, and professional obligations (for example, health-record-keeping requirements);
- improve our website and services;
- send you appointment reminders and, where you have agreed, practice updates.
6. The legal basis for processing
We rely on one or more of the following lawful bases under POPIA: your consent; the performance of a contract with you (your treatment); compliance with a legal obligation; the protection of your legitimate interests; or our legitimate interests in running the practice, balanced against your rights.
7. Direct marketing
We will only send you electronic marketing (such as newsletters or promotions) if you have opted in, and every message will give you an easy way to unsubscribe. Appointment reminders and information directly related to your care are not marketing and may be sent as part of providing our service.
8. How we share your information
We do not sell your personal information. We may share it with:
- Service providers (“Operators”) who process information on our behalf under a written agreement — for example, our website host, practice-management or booking software, email provider, and payment processor;
- Medical aid schemes and administrators, where relevant to your claim;
- Other healthcare providers (such as specialists or laboratories) where necessary for your treatment and with your knowledge;
- Regulators, law enforcement, or courts where we are legally required to do so.
9. Cross-border transfers
Some of our service providers may store or process information on servers outside South Africa. Where this happens, we take reasonable steps to ensure the information receives a level of protection comparable to POPIA, as required by Section 72 of the Act.
10. Cookies and website analytics
Our website uses cookies and similar technologies to help it function correctly and to understand how visitors use it. You can control or delete cookies through your browser settings, though some parts of the site may not work as intended if you disable them.
11. How long we keep your information
We keep personal information only for as long as necessary for the purposes described above, or for as long as the law requires. Health and dental records are kept for the minimum periods required by South African law and professional guidelines – generally at least six years from the date of the last consultation, and longer for records relating to minors.
12. How we protect your information
We take reasonable technical and organisational measures to safeguard your personal information against loss, unauthorised access, and misuse — including secure hosting, access controls, and staff confidentiality obligations. No system is completely secure, but we work to reduce risk and to respond quickly if a security compromise occurs. Where required, we will notify you and the Information Regulator of any breach affecting your personal information.
13. Your rights
Under POPIA you have the right to:
- be told what personal information of yours we hold and to request access to it;
- request that we correct or delete information that is inaccurate, irrelevant, excessive, or outdated;
- object to the processing of your information in certain circumstances;
- withdraw your consent, where processing is based on consent (this will not affect processing that already took place);
- lodge a complaint with the Information Regulator.

14. Lodging a complaint
If you believe we have not handled your personal information properly, please contact our Information Officer first so we can try to resolve it. You also have the right to complain directly to the Information Regulator:
